Role Description
The secretary provides a consistent level of high quality support to the Country Head Operations .This contains long-term projects and day to day activities ensuring the smooth running of the agenda of the Country Head-Operations and other team responsibilities in a challenging, dynamic and fast paced environment. You will arrange key meetings and assist and support the Country Head in managing key relationships and key projects in the business. You will work on a wide range of subjects and will have to work with several departments like Finance and Marketing to resolve problems and questions. Knowledge of Financial processes is a preference. You need to understand the requirements of the Country Head Operations to schedule accurately events and meetings. The company will provide the opportunity for personal development.
Tasks and responsibilities but not limited to :
- Operate effectively and efficiently in a fast-pace dynamic work environment
- Keeping the Country Heads busy calendar schedule
- Arrange meetings, appointments and video and telephone conference calls
- Answering and screening telephone calls, dealing with incoming and outgoing mail
- General PA and administrative tasks, filing, expense processing, minute taking, arranging office supplies etc.
- Overall responsibility for purchase order and department expense follow up
- Arrange and prepare regular country reviews and follow-up meetings
- Making travel arrangements for the Country Head-Operations and his team members
- Create high quality PowerPoint presentations
- Generating weekly marketing reports as assisting other reports as needed
Desired Candidate Profile:
Minimal 3 years administrative capacity experience in an international environment f.e. secretary, executive secretary, management assistant, personal assistant (PA)
- Dynamic, energetic and creative, flexible to adapt to changing situations and circumstances
- Self-starter who is able to work with minimal supervision to complete tasks, proactive and accurate
- Excellent interpersonal and communicating skills
- Excellent English language skills.
- Good organizational and administrative skills
- Good MS computing skills: Word, Excel, PowerPoint and Outlook
